Privacy Policy

This page is maintained by PromTrack to answer common privacy and data questions about PromTrack. It describes our current practices and the platform capabilities we rely on to run the service. It is not an independent certification or legal guarantee.

The short version

• PromTrack never accesses your inbox or messaging accounts. Calendar syncing is strictly optional and controlled by you.
• We only analyze text you manually paste into the app.
• Your commitments are private to your account.
• We do not sell your data or train AI models on it.

What we collect

Account information: your email, name, and (if you sign in with Google) your profile photo.

Content you create: commitments, notes, and the extracted tasks.

Usage data: basic analytics about how the product is used, so we can improve it.

How we use it

To operate PromTrack: store your commitments, send reminders, run AI analysis on text you submit, and show your dashboard. That's it.

AI processing

When you click Analyze, the text you pasted is sent to our secure AI provider (OpenAI) for extraction. It is processed in real time under strict data privacy agreements and is not used to train models.

Zero-Retention Architecture

To ensure maximum confidentiality for your business communications, PromTrack is built on a strict Zero-Retention architecture.

No Raw Text Storage: When you paste an email or text thread into the app, the raw text is processed entirely in-memory in real time to extract your commitments. It is never written, logged, or stored in our database.

Code-Level Safeguards: Our system features runtime constraints and strict validation schemas that make it technically impossible for the raw input text to be saved.

Only Commitments are Saved: The only data that ever touches our database is the final, structured action items (such as titles, due dates, and priorities) so you can manage them on your dashboard.

Data Storage & GDPR

Where your data lives: Your account information, commitments, settings, and optional calendar sync preferences are stored in PromTrack's backend database, which is hosted in the EU-Central-1 (Frankfurt, Germany) region. This means your personal data is stored inside the EU.

Pasted text is not retained: As described above, the raw email or message text you paste is analyzed in real time and is never stored in our database.

GDPR approach: PromTrack is designed with GDPR principles in mind. You have the right to access, correct, export, and delete your data. You can request deletion or export from Settings or by emailing privacy@promtrack.app.

PromTrack is operated by its creator in Stockholm, Sweden, which also serves as the data controller for GDPR purposes.

What we never do

• We do not connect to or read your Gmail, Outlook, Slack, or any other inbox. We only push tasks to your calendar if you explicitly enable it.
• We do not run browser extensions or background scrapers.
• We do not sell or share your content with third parties for advertising.

Your rights

You can export or delete your data at any time from Settings. Email us at privacy@promtrack.app for any questions.
